We are currently seeking a full-time administrative assistant that will be responsible for ensuring organization and smooth day-to-day operations for members of the Nursing Leadership Team and Emergent Care Providers using strong project management, interpersonal and communication skills.  Serving as a subject matter expert for the Emergent Care electronic health record, will provide orientation and ongoing training to providers.  This position is also responsible for review and reconciliation of department charge capture, educating clinical staff on opportunities as well as serving as a liaison between the Emergent Care electronic health record (HER) and YH billing.  This role will serve as operations resource for Wells facility.


Essential Duties & Responsibilities include, but are not limited to:

  • Schedule appointments and maintain calendars
  • Schedule and coordinate department and other meetings
  • Prepare agenda, attend assigned meetings, record and distribute minutes
  • Prepare communications, such as memos, emails, reports
  • Create and maintain filing systems, both electronic and hardcopy
  • Reconcile department charge capture and billing
  • Provide education to clinical and support staff on charge capture opportunities
  • Serve as liaison between electronic health record coding, hospital finance and Emergent care providers
  • Serve as a resource for select business systems
  • Coordinates new Emergent Care physician orientation and ongoing training to electronic health record and e-prescribe
  • Review and reconcile data on daily logs
  • Maintain master monthly on-call schedule
  • Serves as a resource to ensure smooth operations at Wells Walk In/ED Facility
  • Maintain strictest confidentiality
  • Other duties as necessary




  • High School diploma required
  • Associate’s or bachelor’s degree preferred


Experience & Skills

Demonstrated knowledge:

  • Excellent critical thinking and analytical skills
  • Ability to work independently and as a team member with minimal direct supervision and effectively implement oral and written instructions.
  • Strong written and verbal communication skills.
  • Excellent organization and prioritization skills.
  • Proficiency with common word processing and spreadsheet software


Preferred Skills:

  • Project Management experience
